Promer Management Inc. is a construction and repair company located in Winona, having offices across the GTA and Niagara Region, looking for a full time (5 days per week) professional administrative assistant. This position will provide administrative support to the construction team and will be based in the Winona office.
DUTIES and RESPONSIBILITIES
? Responsibilities include but are not limited to: provide administrative support for Construction Administrator / Project Leaders and Managers during construction, including answering phone calls and email inquiries and relaying messages appropriately. This includes a written report which outlines the conversations.
? Answer phones and determine needs of the caller. Address caller’s request or forward to the appropriate associate.
? Manage electronic and paper files.
? Prepare correspondence as requested for construction personnel.
? Manage common office equipment (copier, cell phones, scanner, postage machine, etc.).
? Prepare weekly payroll for small construction crew
? Primary office will be located in Winona, Ontario.
? Receiving and validating purchase orders and invoices, as well as liaising between site supervisors and suppliers.
? Responsible for maintaining work permits for various sites and communicating with different condo boards across the GTA and Niagara Region.
KNOWLEDGE and EXPERIENCE
? High School Diploma with two (2) years college related courses, or equivalent experience.
? Intermediate level using Microsoft Suite and strong computer software skills.
? Excellent verbal and written communication skills and comfortable speaking with employees, vendors and suppliers, as well as the general public and potential clients. Must be able to anticipate problems and solve them as required independently.
? Must have strong organizational skills, be self-motivated, and comfortable working independently.
? Pays attention to details.
? Experience with creating and administering schedules is considered an asset.
